Migrating Paper Records to an ERP Without Losing Trust
Migration is a trust exercise
If the first thing an ERP does is produce wrong records, the team stops trusting it. Migration must be staged and verifiable.
Stage, validate, commit
- Upload a spreadsheet and see every problem it found.
- Correct the flagged rows before anything is written.
- De-duplicate guardians as part of the import.
- Keep the original paper records until the digital copy is checked.
Detect local formats
Dates, names, and identifiers arrive in local formats. The import should detect Bikram Sambat dates and Nepal-specific fields rather than forcing manual cleanup.
Reversible by design
An import that goes wrong should be revertible. Keeping the import as a job with a log makes that possible.
Reconcile with a report
After migration, run a report that lets the team compare counts and spot-check records. Trust is earned by what the team can verify, not by what the vendor promises.
