Designing Fee Structures for Nepali Schools and Colleges
Start with fee heads
A fee head is a category a school collects against, such as tuition, transport, or examination. Define these once and reuse them across classes and periods.
Periods, not ad hoc invoices
Fees should follow a period: monthly, term, or annual. Class-wise structures mean a new student inherits the right amounts without a manual invoice.
Discounts, fines, and waivers
Scholarships and sibling discounts should be explicit records, not a reduced number typed into an assignment. Fines for late payment should be a rule, so they are applied consistently.
- Assign fees with proration for mid-term joiners.
- Record discounts and waivers with a reason.
- Apply fine rules instead of manual amounts.
Partial payments are normal
Most institutions collect in parts. Partial payments, receipts, refunds, and credit notes should all be first-class records against the assignment, not notes in a margin.
When every movement is against an assignment and a ledger, the monthly close is a review rather than a reconstruction.
